Dashboard & notifications

Dashboard (Admin Panel)

The dashboard shows urgent Notifications (overdue and due-within-14-days inspections, re-cert expiry, untested assets, licence expiry) and a short Upcoming Inspections list. Click through to the full Notifications page or an inspection register.

Notifications page

Full alert list with search, summary counts, View Asset / View user, and Mark as Read (stored in your browser only). Alerts refresh every few minutes.

Sites & locations

The Sites page uses a master–detail layout: site list on the left, site detail on the right. Create sites and locations, search the list, and view tested assets only at each location. Stat cards show org asset counts. On mobile, use ← Sites to return to the list.

Assets

Adding & managing assets

  1. Open Assets from the sidebar
  2. Use Add New Asset, or Import Excel / Import CSV for bulk load
  3. Set category, name, frequency, site/location, and assign a QTAG from your pool
  4. Use column filters, global search, and sortable headers (QTAG sorts numerically: 1, 2, 10…)
  5. Row actions: Details, Test/Inspection, history, photos, documents, edit, report lost/assign QTAG

Tip: Set up Sites first if you want location tracking from day one.

Category Setup

Administrators configure frequencies, categories, equipment types, and inspection steps (checklists). Only active categories appear on the Inspections hub. Requires Edit Category Types and/or Edit Category Steps on your role.

Inspections & registers

Open Inspections to see a card per active category (Electrical, Fire, Ladder, Lifting & Rigging, etc.). Click a card to open that register. Record tests from the register or from an asset row on Assets.

Each register has category-specific fields, import/export, photos, documents, and test history. Use the in-app Help icon on each register for field-level guidance.

Users, roles & contacts

User List

Create login accounts, assign roles, manage trade licences, reset passwords, activate/deactivate users. Requires View Users.

Roles

Custom permission matrix: 13 flags (View Users, Edit Assets, Edit Tags, View Invoices, Edit Subscription, etc.). Administrators manage the matrix; assign roles on User List.

Contact List

Contacts are for billing/licence/tag-order emails — not app logins. Set Invoicing, Test licences, and Tag stores flags. Requires Edit Contacts.

Tags, orders & billing

  • BUY TAGS — order physical QTAG labels (Stripe checkout)
  • Tag Management — pool, on-order delivery confirmation, assigned/lost tags, assignment history
  • Modules — subscription plans (Trial, Standard, Silver, Gold, Unlimited) and asset limits
  • Membership Status — current tier, usage, upgrade/cancel
  • Invoices — view org invoices and PDFs; filter by QTAG purchase vs subscription

Reports & export

Use Reports to generate compliance and asset summaries. Export from registers and the asset list where export actions are available. Requires View Reports where enforced.

Login & access issues

  • Forgot password — use the link on the login page (reset email expires in one hour)
  • Missing sidebar link — your role lacks that permission; ask an admin to update Roles
  • Redirect to dashboard — page guard blocked access (permissions)
  • Stale data — hard-refresh (Cmd+Shift+R / Ctrl+Shift+R)
  • Browser — use current Chrome, Firefox, Safari, or Edge
